Privacy policy
Last updated: draft, 10 October 2026
The short version. We collect what you tell us when you book a call, plus how visitors use our pages. Most of that is counted without cookies; the cookie-based tools on this website only run if you say yes. We use it to talk to you about working together and to run our service. We don't sell it. You can ask us to see it, fix it or delete it at any time by emailing [email protected].
1. Who we are
TradeLink is a trading name of PulseLink Consultations Ltd, a company registered in England and Wales with company number 15471165. Our registered office is 9 Lord Close, Countesthorpe, Leicester, LE8 5AL, United Kingdom.
We decide how and why your personal information is used, which makes us the "controller" under UK data protection law. For anything in this policy, email [email protected].
2. What we collect
What you give us
- Your answers when you book a call: your company's yearly revenue band, installs a month, company name and the area you cover.
- Your name, mobile number and email address, and whether you agreed to texts.
- What you tell us in emails, texts, calls and video calls. We may record video calls, with notice at the start, to keep accurate notes.
- If you become a client: billing details, your service area, ad account access, and the photos and videos you send us.
What we collect automatically
- On every page, without cookies: a count of what happens on the page. That it was opened, how far down it was scrolled, how long it was open, whether the video was played with sound and for how long, and whether the form or calculator was used and how it ended. Each page view gets a random number that is forgotten when you leave the page, so it can't link one visit to another, and we don't keep your IP address. We use it to find where our pages lose people.
- On the pages our Facebook ads link to, without cookies: Microsoft Clarity records how each visit moves around the page (scrolling, taps and mouse movement). Each page view is recorded on its own, and Clarity can't see inside the booking form, which runs in its own frame.
- If your browser sends a Global Privacy Control signal, or you click Reject on this website's cookie banner, we don't count or record your visits in either of these ways.
- On this website, only if you accept analytics cookies: pages you view, clicks and scrolling, rough location (city level), device and browser, and the site or ad that sent you. We use Google Analytics and Microsoft Clarity for this. Clarity can record how you move around a page. It hides what you type into forms.
- On the pages our Facebook ads link to, the Meta pixel tells Facebook which ad you came from and whether you booked a call. See our Cookie policy for details.
- Basic technical logs from our website host, used to keep the site secure.
What we get from others
- Facebook tells us which of our ads you responded to.
- Public information about your company, such as your website and reviews, which we look at before a call.
3. How we use it, and why we're allowed to
| What we do | Legal basis |
|---|---|
| Book, confirm and run your call with us | Taking steps at your request before a contract, and our legitimate interest in replying to people who contact us |
| Send call reminders and follow-ups by text | Your consent (the box on the booking form). You can withdraw it at any time by replying STOP |
| Follow up by email or phone about working together | Our legitimate interest in growing our business. You can tell us to stop at any time |
| Deliver our service to clients | Performing our contract with you |
| Count how visitors use our pages without cookies, and record visits to our ad pages with Microsoft Clarity without cookies, to find where our pages lose people | Our legitimate interest in improving our pages. Global Privacy Control or the Reject button turns it off |
| Understand in more detail how people use this website (Google Analytics, Microsoft Clarity) | Your consent through the cookie banner |
| Measure our own Facebook ads on our ad pages | Our legitimate interest in knowing which ads work |
| Keep accounting and tax records, and meet legal requests | Legal obligation |
4. Who we share it with
We don't sell your personal information. We share it only with companies that help us run TradeLink, under contracts that limit what they can do with it:
- HighLevel (LeadConnector): our CRM, booking calendar, email, text and calling system.
- ROAS Form: the booking form on our ad pages.
- Meta Platforms: our Facebook ads and the Meta pixel on our ad pages.
- Google: Google Analytics (with your consent) and file storage.
- Microsoft: Microsoft Clarity (on this website with your consent, on our ad pages without cookies) and our email.
- Zoom and Fathom: video calls, call recording and call notes.
- Vimeo: hosting the videos on our pages.
- Slack: internal team notifications.
- Cloudflare and Supabase: website hosting, the page counts and our reporting database.
- Whop and Stripe: taking payments from clients.
We may also share information with our professional advisers, with authorities when the law requires it, or with a buyer if the business is sold. We never share your mobile number or text consent with anyone for their own marketing.
5. Where your information goes
We're based in the UK and most of the companies above store data in the United States. When your information leaves the UK, we rely on the UK's data bridge with the US for companies certified under it, or on the UK's approved contract terms for international transfers. Ask us if you'd like a copy of the safeguards.
6. How long we keep it
- If you book a call but don't become a client: up to 2 years after we last spoke, then deleted.
- Video call recordings: up to 12 months.
- Clients: for as long as we work together and 6 years after, for tax and legal reasons.
- Page counts: 13 months, then deleted.
- Analytics: Google Analytics keeps data for 14 months. Microsoft Clarity keeps recordings for 30 days and summary data for up to 13 months.
7. Your rights
Under UK law you can ask us to:
- give you a copy of your information
- correct it
- delete it
- limit how we use it, or object to us using it, including for marketing, where you can always say no
- send it to you or another company in a common format
- withdraw any consent you gave, which doesn't affect what we did before
If you live in a US state with a privacy law that applies to us, you can also ask to know, correct or delete your information and opt out of targeted advertising. We'll never treat you differently for asking.
Email [email protected]. We'll reply within one month. If you're unhappy with how we handle your information, you can complain to the UK Information Commissioner's Office at ico.org.uk, though we'd like the chance to fix it first.
8. Text messages
If you tick the box on our booking form, we'll text you about your call and about TradeLink. How often varies. Message and data rates may apply. Reply STOP at any time to stop, or HELP for help. Mobile numbers and text consent are never shared with or sold to anyone else for their marketing.
9. If you're a customer of one of our clients
When you respond to an ad we run for an HVAC company, that company is responsible for your information and we handle it for them, following their instructions. Their privacy policy applies. You can still contact us at [email protected] and we'll pass your request to them.
10. Security, children and changes
We limit who can see your information and use encrypted connections to protect it. No system is perfectly secure, and we'll tell you and the regulator if something goes wrong where the law requires it.
This website is for business owners. It isn't meant for anyone under 18 and we don't knowingly collect their information.
If we change this policy, we'll update the date at the top. Big changes will be pointed out on the website.
